Project/Property Coordinator | Ortigas On-site | Night Shift

About The Role

The Home Wise Coordinator is responsible for coordinating various administrative tasks related to moves, document management, resident information, and resales/refinances. They will ensure efficient and accurate processing of information, maintain databases, and provide support to the management team. The ideal candidate has strong organizational skills, attention to detail, and the ability to multitask effectively.

Responsibilities:

Move Coordination:
Respond to email requests for moves and provide instructions for ordering lease requirements through homewisedocs.com.
Provide Unit Owners with sales requirements.
Track all necessary forms and checks on the Move In/Out Tracker.
Schedule moves on the Outlook calendar and coordinates security arrangements if necessary.
Follow up with maintenance for damage reports after moving.
Update new contact information in Yardi and upload all relevant documents.
Scan and confirm deposit checks for any damages and return or destroy them accordingly.
Provide end-of-day updates to the Manager regarding moves, deliveries, and reservations.
Document Management:
Update attachments for association accounts (e.g., Certificates of insurance, meeting minutes) and unit owner accounts (e.g., incoming resident forms, notices of intent, leases) on Rent Café, Yardi, and Master Spreadsheet.
Resident Information:
Process and enter new and updated resident information in the appropriate fields of Yardi.
Resales/Refinances:
Monitor Homewise for resale orders and update relevant files (e.g., minutes, insurance, governing documents).
Process 22.1 questionnaires, lender questionnaires, and paid assessment letters for sales.
Collect necessary information from sellers and buyers before releasing a “Valid for Closing” order.
Process data in Yardi and update the Condo Sales Worksheet to track purchases in progress.
Communication and Reporting:
Send out end-of-day emails regarding moves, deliveries, reservations, condo sales, work orders, and purchases in progress.
Monthly, confirm that all purchases in progress that have closed within the month are moved to unit owners in Yardi.
Consult with buyer and seller attorneys for confirmation and closing documents.
Complete this task before the 22nd of the month to meet end-of-month reporting requirements.

 

Position Requirements

High school diploma or equivalent (additional education or certification is a plus).
Proven experience in administrative or coordination roles.
Strong organizational and multitasking skills.
Attention to detail and ability to maintain accurate records.
Excellent communication skills, both written and verbal.
Proficient in using Microsoft Office Suite (Outlook, Excel, Word).
Familiarity with property management software such as Yardi is preferred.
Ability to work independently and collaborate effectively in a team environment.
Prior knowledge of lease requirements, resale processes, and property management procedures is desirable.
