We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Founder and CEO. The ideal candidate will be a detail-oriented professional with exceptional organizational and communication skills. This role requires a high level of discretion, as you will be handling sensitive and confidential information.
Key Responsibilities:
Calendar Management:
- Manage and coordinate the CEO’s daily schedule, including meetings, appointments, and travel arrangements.
- Prioritize and adjust appointments as necessary to accommodate changing priorities.
Communication:
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Screen and manage incoming communications, including emails, calls, and correspondence, responding on behalf of the CEO when appropriate.
Meeting Preparation:
- Prepare agendas, materials, and presentations for meetings, ensuring the CEO is well-prepared for all engagements.
- Take detailed meeting minutes and track action items to ensure follow-up.
Project Management:
- Assist in managing special projects, coordinating with various departments to ensure timely completion.
- Conduct research, compile data, and create reports as needed to support the CEO’s decision-making.
Travel Arrangements:
- Plan and coordinate complex travel itineraries, including flights, accommodations, and ground transportation.
- Prepare travel documents and ensure all necessary arrangements are in place.
Confidentiality:
- Handle sensitive information with the utmost discretion and professionalism.
- Maintain confidentiality in all matters related to the CEO and the organization.
Administrative Support:
- Manage expenses, prepare expense reports, and handle other administrative tasks as needed.
- Organize and maintain files, documents, and records, ensuring easy accessibility.
Event Coordination:
Plan and execute company events, conferences, and other special activities, working closely with relevant teams.
Required skills and qualifications:
Education
• Bachelor’s degree in business administration, Communications, or a related field is preferred.
Experience:
• Minimum of 5 years of experience as an Executive Assistant, preferably supporting C-level executives.
• Proven experience in managing complex calendars, travel arrangements, and projects.
Skills:
• Exceptional organizational skills with the ability to multitask and prioritize effectively.
• Excellent written and verbal communication skills.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
• Ability to work independently, take initiative, and anticipate the CEO’s needs.
